2. Scope of This Privacy Policy
This policy applies to information collected through our public website at www.ivr-lab.com, website forms and scheduling requests, our proprietary SmartAgent website chat, and business communications that individuals send to IVR Lab by email, phone, or other direct contact methods. It also addresses cookies and website tracking technologies described in our separate Cookie Policy.
Client-controlled information processed in our contracted systems, including protected health information where applicable, is subject to the relevant client agreements, statements of work, Business Associate Agreements (BAAs), and applicable law. This website policy does not replace those arrangements or a covered entity’s HIPAA Notice of Privacy Practices.

Please do not submit sensitive information through our public website. Clinical and healthcare information handled for clients is processed through separately governed systems.
4. How We Use Personal Information
We use information collected through the public website and business interactions to:
- Operate, protect, troubleshoot, and improve our website and related features.
- Respond to inquiries, arrange discussions, and communicate about our products and services.
- Provide website contact forms and our first-party SmartAgent chat functionality.
- Measure website usage, improve usability, and evaluate marketing effectiveness.
- Understand organizational interest in our B2B services and support business development.
- Provide requested transactional or security-related communications, where applicable.
- Maintain reasonable business records, comply with law, and protect our rights and systems.
5. Cookies and Similar Technologies
Our website uses cookies, tags, pixels, session analysis, and related technologies. These may include Google Tag Manager, Google Analytics 4, Microsoft Clarity, Mouseflow, LinkedIn Insight, Albacross, first-party SmartAgent chat, EqualWeb accessibility features, and Jotform forms that may load reCAPTCHA.
We use local IP-country geolocation and Google Tag Manager rules to restrict specified nonessential analytics and marketing tags for certain geographic regions and browsers communicating a Global Privacy Control signal. These restrictions apply to the tags managed by that mechanism, not necessarily to every third-party feature on the website.
For details on the categories, examples of cookies, geographic controls, and available choices, see our Cookie Policy.
6. How We Disclose Personal Information
We may disclose information when reasonably necessary for the purposes described in this policy, including to:
- Technology and service providers: Website hosting, security, forms, email, analytics, and other operational services.
- Analytics, advertising, and B2B identification providers: Third-party website tools that may receive visitor identifiers and activity and, depending on their terms, may also use information for their own stated purposes.
- Affiliates: The Stormfire Group, LLC and affiliated entities supporting our business operations.
- Professional advisers: Legal, accounting, compliance, and similar advisers subject to appropriate confidentiality arrangements.
- Business successors: Parties involved in a merger, acquisition, financing, reorganization, or sale of assets, subject to applicable protections.
- Legal and security recipients: Authorities or other parties where legally required or reasonably necessary to protect people, rights, or systems.
Third-party services may have their own privacy policies and responsibilities. We encourage you to review those policies when using their features.
7. No Sale of Customer Information; Website Advertising Disclosures
IVR Lab does not sell customer information, client data, or information collected through our contracted services. We do not operate a business that sells customer lists or client records to data brokers or advertisers.
Our public website uses certain third-party analytics, advertising measurement, and business-identification technologies, including LinkedIn Insight and Albacross. Such tools may receive technical identifiers and website activity. Under some privacy laws, particular disclosures can be legally characterized as a “sale,” “sharing,” or targeted advertising even when no money is exchanged and even though IVR Lab does not sell customer information as a business practice.
Where an applicable law gives you a right to opt out of qualifying disclosures or targeted advertising, you can submit a request using the contact details in Section 10 or Section 15. Available browser tools and GPC-based restrictions are described in our Cookie Policy.
8. How Long We Retain Information
We retain information for periods reasonably necessary to respond to inquiries, maintain business relationships and records, protect our systems, resolve disputes, and meet contractual or legal obligations. Retention depends on the nature of the information, the reason it was collected, the status of our relationship with you, and applicable requirements.
Cookies and third-party tracking technologies have varying retention periods described further in the Cookie Policy and provider documentation. Data processed on behalf of contracted clients follows the applicable client agreement and any required retention or deletion instructions.
9. Information Security
We use administrative, technical, and organizational measures designed to protect personal information based on the nature of the information and our role in processing it. No internet transmission or storage method can be guaranteed to be completely secure.
For contracted systems handling regulated information, additional security and privacy requirements may apply through customer agreements, BAAs, and applicable law.
10. U.S. State Privacy Rights
Depending on your state of residence, our activities, statutory thresholds, and applicable exceptions, you may have rights to:
- Request access to or information about personal information collected about you.
- Request correction of inaccurate information.
- Request deletion of information, subject to applicable exceptions.
- Request a portable copy of certain information.
- Opt out of qualifying sales, sharing, or targeted advertising.
- Exercise other rights, including appeals or limitations on sensitive-data processing, where available under applicable law.
How to submit a request
Email privacy[@]ivr-lab.com with the subject Privacy Choices, or write to the address in Section 15. Describe your request and provide sufficient information for us to locate the relevant records. We may need to verify your identity or an authorized agent’s authority before acting on a request.
We will respond as required by applicable law and will not discriminate against individuals for exercising rights provided by that law. You may also use available browser or provider controls, as explained in the Cookie Policy.
California disclosure summary
The categories of website information we may collect, their sources, purposes, and categories of recipients are described in Sections 3, 4, and 6. Section 7 explains our no-sale business practice and the potential legal treatment of third-party website tracking. We do not seek sensitive personal information through the public marketing website.
11. Visitors Outside the United States
IVR Lab primarily serves U.S. and Canadian business clients and may receive website inquiries from other countries. Information submitted through our public website may be processed or stored in the United States or in other locations used by service providers, subject to applicable law.
Where a contracted client requires a particular geographic hosting or processing arrangement, that arrangement is governed by the applicable agreement, not by this public website policy alone. Geographic restrictions on certain website tracking tags are described in our Cookie Policy.
12. Children's Privacy
Our public website is intended for business and professional audiences, not children under 16. We do not knowingly solicit personal information from children through the public website. If you believe a child has provided personal information to us, contact privacy@ivr-lab.com so we can review the matter and take appropriate action.
13. Third-Party Websites and Tools
Our website may link to external websites or embed services operated by other organizations, including form, accessibility, analytics, advertising, and anti-spam providers. Their practices may be governed by their own policies. We are not responsible for the content or independent privacy practices of third-party websites we do not control.
14. Changes to This Policy
We may revise this Privacy Policy to reflect changes in our website, operations, technologies, or applicable requirements. The date at the top will indicate the latest revision. If additional notice is legally required, we will provide it in an appropriate manner.
